Short answer: it's automated through the SAT's official bulk download web service, authenticated with each RFC's e.firma (advanced electronic signature). A system downloads issued and received CFDI invoices on its own, generates the tax status certificate, checks the compliance opinion and alerts you before every deadline, with no one logging into the SAT portal. At Synapse Reactive we implement it starting at $3,000 USD, a one-time payment with Mexican VAT (IVA) included, unlimited RFCs and no ongoing costs.
Why does downloading invoices by hand stop working?
Logging into the SAT portal, filtering by date and downloading XML files works for one RFC and a few invoices. With several RFCs or hundreds of invoices a month, the usual problems show up:
- Hours of repetitive work every month, for every RFC.
- Invoices that never get downloaded and throw off the books.
- A negative compliance opinion nobody noticed until a client asked for it.
- Deadlines tracked from memory or in a spreadsheet.
What can be automated?
- Bulk CFDI download, issued and received, as XML and metadata, on a schedule.
- Tax status certificate (Constancia de Situación Fiscal) generated automatically for each RFC.
- Compliance opinion (32-D) checked periodically, with an alert if its status changes.
- Early alerts before every deadline.
- A dashboard with the tax status of every RFC in real time.
- Consolidated financial and tax reports, ready for Excel or Numbers.
- Multi-user access with different permissions for each team member.
How does the SAT bulk download work?
The SAT offers an official web service to download invoices without using the portal. Its main rules:
- Each request is signed with the taxpayer's e.firma: the certificate (.cer), the private key (.key) and its password.
- You can request metadata (a summary of each invoice) or the full XML files.
- Each request can return up to 200,000 invoices as XML or 1,000,000 as metadata.
- The packages the SAT generates are available for 72 hours and can be downloaded up to 2 times.
- You can query invoices from up to 5 years back.
These limits are set by the SAT and may change. A well-built system handles them on its own: it splits large requests, downloads each package in time and avoids duplicates.
What is the compliance opinion and why monitor it?
The opinión de cumplimiento (32-D) is the SAT document stating whether a taxpayer is up to date. It can come back positive, negative, no obligations or suspended activity.
Many clients, banks and government agencies ask for it before hiring or paying. A positive opinion is valid for 30 calendar days (3 months when it's for incentives or subsidies), so it needs frequent checks. Automating it prevents the worst surprise: finding out it's negative right when a client needs it.
What do you need to get started?
- A valid e.firma for each RFC you want to include.
- The list of RFCs: your own, or your clients' if you're an accounting firm.
- Who should see what: each team member's permissions.
- How you want your reports: what information, how often and in what format.
With that, the dashboard is scoped in the free AI check and the implementation.
What should you demand about e.firma security?
The e.firma is legally equivalent to your handwritten signature before the SAT, so any provider must explain in writing:
- Where it's stored, and that it's encrypted.
- Who can use it and for what: only for the queries you authorized.
- How you revoke or replace it if you stop working with them.
- That you get an alert when the e.firma is about to expire, so you can renew it in time.
How much does it cost?
Total SAT Integration costs from $3,000 USD as an initial implementation:
- One-time payment, Mexican VAT (IVA) included; you can pay in Mexican pesos.
- Unlimited RFCs in one dashboard, with no fixed annual fee per RFC.
- No ongoing costs after implementation.

Frequently asked questions
Does it work for several RFCs?
Yes. You can have unlimited RFCs in the same dashboard, with no extra fee for each one.
Do I need the e.firma, or is the SAT password enough?
Bulk download through the SAT web service requires each RFC's e.firma.
How far back can I download invoices?
The SAT service allows queries for invoices from up to 5 years back.
Is there a monthly fee?
No. It's a one-time implementation payment, with no ongoing costs and no annual fee per RFC.
Does it replace my accountant?
No. It takes the operational work of downloading, checking and organizing off their plate, so they can focus on analysis and advice.
