Short answer: automating a process in your company with artificial intelligence starts at $1,200 USD as a one-time project, with no mandatory monthly fees. If you also need a website that serves customers on its own, it starts at $890 USD; a custom system with user logins and an admin panel, at $2,500 USD. The final price depends on how complex your process is and which tools it must connect to, and it's confirmed in a free assessment.
Most agencies don't publish their prices. We do, because you shouldn't need three sales calls to find out whether something fits your budget.

What drives the cost?
Two processes that "look alike" can cost very differently. These five factors move the price the most:
- Number of steps and exceptions. Sending an automatic reminder is simple. A quoting flow with per-client discounts, approvals, and follow-up has more rules to build and test.
- Which systems it connects to. A process that lives in Excel and WhatsApp is one thing. If it must also read your CRM, accounting system, or tax portal, each connection adds work.
- Whether it really needs AI. Many automations run on clear rules ("if this happens, do that") and are cheaper and more reliable. AI is worth it when the system must understand free text, read documents, or answer questions.
- Volume. Processing ten orders a day doesn't require the same as processing a thousand.
- Third-party usage costs. Some services charge per use: WhatsApp Business messages, AI model requests, storage. They're usually low, but always ask about them before you start. We break them down in the assessment.
Which processes should you automate first?
A good candidate meets at least three of these signals:
- It repeats every day or every week.
- It follows clear rules, even with exceptions.
- Someone copies data from one place to another by hand.
- Data-entry errors cost you money or customers.
- The information is already digital (emails, spreadsheets, forms, WhatsApp).
Typical examples in service businesses: sending and following up on quotes, answering frequent questions, appointment and payment reminders, reconciling invoices, and weekly reports for management.
How to calculate whether it pays off
Use this simple formula:
Annual savings = hours per week the process takes × hourly cost of whoever does it × 52
Compare it with the project cost to see how long it takes to pay back.
Illustrative example: if someone spends 8 hours a week building and following up on quotes, and their time costs $10 USD an hour, that process costs you $80 USD a week, or $4,160 USD a year. A $1,200 USD automation would pay for itself in about 15 weeks — and from then on, those hours are free for selling or serving customers.
Your company's numbers will differ. Our free AI check estimates how many hours you could recover in three questions.
What you should demand from any provider
- A written price before starting, stating what's included and what isn't.
- Before-and-after measurement: how many hours or errors there were, and how many remain.
- Integration with what you already use, without forcing you to replace your whole system.
- Clarity on recurring costs: hosting, licenses, or third-party usage.
- Support after delivery, not just the project.
